Quotation System

Customer and/or End Users Our Client is a leading retail merchandising company, listed on Nasdaq, with a 30 year track and marquee clients. The company holds an acknowledged industry leadership position in incentive marketing, database marketing and sales promotion. Its rapid and reliable frontline intelligence gives it the ability to manage simultaneously a large swathe of individual products across multiple lines, stores and locations.

The Challenge
Generating quick quotes for ongoing business orders from long standing clients is a key factor in building business velocity for both the merchandiser and its Fortune 500 clients. The problem is a complex one, as individual end users have disparate formats, specific features and merchandising requirements. Heretofore this complexity had been handled via a manual process, but at the cost of velocity. The challenge was to retain the custom individualized needs of each marquee client while accelerating quotation cycle time.

The Solution

PM AM developed an automated Quotation System for automating the process of fitting individualized specific requirements into a standardized quote calculation, operating at a very fast pace. The system design took shape as three core modules:

  • Service Central A center was created in the system where a client visits and surfs its specific order configuration. This module allowed a client to ask for a quote against its specific configuration of requirements, using an authorized login ID. Secured access also allowed a client to view in real time the automated quote generated by the system
  • The request would then be processed and a quote generated automatically through an Internet Pricing System for existing clients-a user-friendly database structure was critical in enabling both merchandiser and client to participate efficiently in this online downstream ecosystem.
  • The client would approve the quote online, triggering the automated generation of a Letter of Agreement in PDF format, e-mailed to the client for order confirmation

The automated system thus standardizes all the elements required for quote generation. A huge database enables customization-the matching of price to individual requirements, and facilitates the final Letter of Agreement. This inbuilt flexibility was enhanced by programming default settings which could be easily modified to match real time shifts in a client's merchandising needs-and allow the merchandiser's sales force to manage by exception and fine tune price quotes to the satisfaction of both parties.
